Congratulations on your admission to the Ph.D. Program at the University of Chicago Crown Family School of Social Work, Policy, and Practice! As you prepare to begin your doctoral journey, we are here to support you through the enrollment process. This page outlines the essential steps you need to complete before starting your studies in the Autumn Quarter. Follow the checklist below to ensure a smooth transition.

Register for Admitted Student Events

Ph.D. Admitted Student Visit Day will be held on March 3, 2025, and is an opportunity for admitted doctoral students to meet the fellow incoming students, current students, and faculty.

All incoming students are expected to attend New Student Orientation. Orientation will provide you with the opportunity to learn more about advising, curriculum, the school community, and the culture of the University of Chicago. Orientation is designed to:

  • Acquaint students to the University’s standards and principles 
  • Introduce students to advisors and resources critical to personal and academic success
  • Help students identify available on and off-campus resources
  • Provide an opportunity to meet other new and continuing students

Confirm your Enrollment by logging in to your application status page and clicking the Reply to Offer of Admission icon.

  • Notify us of your Intent to Enroll
  • Claim your University Email and CNet ID
  • Submit your Enrollment Deposit and Disclosure Form
  • Submit Official Transcripts

Claim your University Email and CNet ID

Set up your University Email Account and CNet ID. Your CNet ID is a username you will select and use to access most online services at the University of Chicago. A CNet ID is required to apply for housing and financial aid, manage your personal information, and register for courses. You will continue to receive email correspondence about your next steps and opportunities through the email address you used to apply. However, you should check your UChicago account regularly for current student communications.

Here are some of the University systems that you will have access to with your CNET ID:

  • MyCrownSchool.uchicago.edu is the internal portal for all Crown family School students. On this site, you can find course schedules, the alumni contact database, upcoming events, as well as other valuable resources. Note that many of the SSL courses will be added to the database later in the Spring and early Summer.
  • MyUChicago Portal is the University portal you will access for a variety of resources, including registration.
  • UChicago Student Employment website to apply for University-related jobs (both work-study and non-work study), keep in mind most fall jobs won't be posted until mid to late summer.
  • University Email: Note that your CNET ID is also the prefix of your email address. Your CNET ID cannot be changed once you create it. However, you may set up an email alias, which you might use, for example, if you change your name and your CNET ID no longer represents your identity accurately.
  • Also visit the CNET Overview site where you can find further information about the UChicago wireless network, the virtual private network (cVPN), and two-factor authentication (2FA).

 

Register for classes; Complete field education questionnaire.

Register for Classes

  • All incoming Ph.D. students will be pre-registered by the Dean of Students office for the required doctoral theory workshop. First- and second-year students attend the workshop on Mondays from 12:30-1:50 pm; this workshop does not count towards the 15-course requirement towards the Ph.D. degree.
  • A.M./Ph.D. students will be pre-registered for their core master’s-level 300/301 core sequence and field practicum.
  • Outside of these pre-registered courses, A.M./Ph.D. students often enroll in one additional course, and Ph.D. students typically enroll in two-three courses in Autumn term. The Autumn course schedule for the Crown Family School should be finalized by early July. For graduate courses outside of the Crown Family School, the Autumn schedule will be published in early September.
  • Ashley Brown will be reaching out to incoming Ph.D. students to schedule an advising conversation in late August/early September. She will review the Crown Family School A.M./Ph.D. and Ph.D. course requirements and offerings and provide direct support for course registration which opens in September.

Select Your Research Assistantship

  • In each of their first two years in the program, Ph.D. students are expected to spend 300-360 hours in research internships with Crown Family School faculty members. A.M./Ph.D. students begin in their second year, and IES students fulfill this research requirement through their IES apprenticeship starting their second year. 
  • For Crown Family School research assistantships, students collaborate on faculty research projects. Students select the faculty projects with which they would like to work. Those decisions should be based on a variety of factors, including, but not limited to, the substantive topic of the project, the opportunity to develop relationships with faculty and other members of faculty research teams, the opportunity to gain academic publications, and what specific research skills will be learned. Although sometimes students will do their research internship with the same faculty member for two years, it is often desirable for the student to get experiences on different research projects. 
  • Over the summer months and during the first few weeks in the doctoral program, students who will begin their research assistantship in the first year are encouraged to meet with a variety of faculty members to learn about their ongoing and upcoming research projects and opportunities that might exist with those projects. Students who would like assistance in connecting with faculty members can contact Ashley Brown. Based on these conversations and faculty project availability, students should select a research mentor and inform Ashley Brown of their first-year research assistantship in October.

Select Field Practicum Site - A.M./Ph.D. Students

  • The Field Education Office is working on notifying all incoming students of their field placement before orientation. A.M./Ph.D. students can expect to hear from the Director of Field Education, Susan Klumpner, Ph.D., who will set up an individual appointment this Summer to discuss field placement options.

The first step for students is to upload their own UChicago Card photos at https://myphoto.uchicago.edu/. Note, all students should upload a photo, not just those on campus, as these photos are used for several campus systems, including course rosters.

Submit Immunization/Health Documents

The State of Illinois and the University of Chicago requires that all students participating in in-person classes, research, or activities in the U.S. are required to be vaccinated against the following illnesses/diseases. Course registration holds are placed for non-compliance with this requirement. These immunizations include:

  • Diphtheria, Tetanus, Pertussis
  • Measles
  • Mumps
  • Rubella
  • Meningococcal (for students entering the University under the age of 22)
  • COVID-19

Enroll/Opt Out of Student Health Insurance

  • The University requires all registered students to carry adequate health insurance to cover, among other costs, hospitalization and outpatient diagnostic, testing and surgical procedures. Additionally, the insurance must cover medical care provided in the Chicago area for both emergency and routine, non-emergency medical situations (or, if the student will not be in Chicago, it must provide this coverage wherever the student will be residing and studying during the academic year).   • All students admitted to the Crown Family School, with the exception of those admitted to the Extended Evening Social Work program and Part Time Social Sector Leadership program, will be automatically enrolled in the University’s Student Health Insurance Plan (U-SHIP). U-SHIP enrollment is required for all PhD students at the University of Chicago. As such, PhD students are not eligible to waive U-SHIP with comparable coverage. Individual student premiums will be paid for PhD students at no cost to them. 

Students who prefer coverage under other health insurance programs must waive out the University’s plan. Students who are eligible to waive U-SHIP may review the 2022-23 comparable coverage checklist. The waiver process for Summer Quarter typically begins in April. The waiver process for Autumn Quarter typically begins in August.
